Conducting an employee audit
The HR Manager must realize that “staffing is a critical organizational function concerned with the acquisition, deployment, and retention of the organization’s workforce” (Heneman et al, 2015, p. 7). The HR Manager must ensure that each department is properly staffed.
Scenario: You have just been promoted to the position of HR Manager. There are seven departments and 375 individuals that are employed with the manufacturing company. The manufacturing plant is open 24 hours a day and seven days a week. You have been assigned the task of evaluating each department to ensure that staffing needs are met. What steps would you take to conduct the employee audit? How would you use the new HRIS system for this project?

If I were assigned the task of conducting an employee audit to ensure that every department is properly staffed, my first step would be to review all existing HR documentation such as performance reviews, job descriptions and salary scales (Heneman et al., 2015). This will help me gain a better understanding of each individual’s contribution to the organization and the qualifications required for each position. In addition, I would need to gather information on shifts/hours worked by each employee in order to determine if staffing levels are sufficient for peak hours (Heneman et al.,2015).
Once I have collected this data I can then utilize our new HRIS system—which includes tools such as applicant tracking systems and analytics—to create reports based on the data which will identify any potential staffing issues within any department or individual positions (Gibb & Quirke, 2017). This will enable me to quickly see where resources may need to be shifted in order to meet demand while still taking into account budget constraints. Finally, I can use these same reports when creating or updating job descriptions in order to draw attention towards key areas that may require additional manpower in order help increase efficiency and productivity across departments (Gibb & Quirke, 2017).
In conclusion then, using an HRIS system can greatly assist with employee audits by providing access not only to existing data but also enhanced analytical capabilities allowing for more strategic insights into how to best allocate resources throughout the organization.
